REPORTS TO: Director /Office Manager The Office Assistant manages the day-to-day operations of the office. The Office Assistant provides administrative support within the office to therapists and the director. The post holder will be required to work flexibly, in a rapidly developing office environment. It may be necessary to assist, or cover for, other administrative staff from time to time. The Office Assistant is responsible for opening/closing the office. The Office Assistant carries out responsibilities in the following functional areas: billing, telephone inquiries, scheduling, Duties include general clerical, receptionist and project based work. Project a professional company image through in-person and phone interaction. The key duties of the post are as follows: Relieve director of administrative detail, all projects Answer telephones, take messages, transfer calls to appropriate staff members or voice mail. Meet and greet clients and visitors. Create and modify documents using Microsoft Office. Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing. Setting up and maintenance of filing systems as and when required as works progress Follow-up on phone inquiries who have been sent correspondence. Typing - Word skills for general preparation of letters/forms that the Office will issue, along with logging into the Office records system. Maintain hard copy and electronic filing system. Record incoming payments and prepare deposits Research, price, and purchase office furniture and supplies and monitor inventory. Coordinate and schedule client appointments and consultations. Maintain and distribute staff daily schedules. Update and maintain mailing lists. Produce mailing labels and reports as requested. KNOWLEDGE AND SKILL REQUIREMENTS Knowledge of Microsoft Office and telephone protocol. Duties require professional verbal and written communication skills. Ability to work independently and as a team. Sensitivity to the needs of persons with disabilities. Ability and willingness to work cooperatively with others.
